We use a website format and management provider from Wix.com Inc where the content is provided exclusively by the Little Swim Club Hampshire Ltd, a company registered in England and Wales, number OC417828 and registered address Suite 2, Victoria House, South Street, Farnham, Surrey, England, GU9 7QU. We use a web-based email provider 123-reg Ltd, 5th Floor, The Shipping Building Old Vinyl Factory, 252-254 Blyth Road, Hayes, Middlesex, UB3 1HA.  We also use a web- based provider MOR Solutions Ltd, 12 Watermills Close, Andover, Hants, SP10 2ND, to manage and store all of The Little Swim Club course and client data.

WHAT THE LITTLE SWIM CLUB USES INFORMATION FOR

·       Information submitted using the website’s email subscription form is gathered for the purposes of promoting and delivering our services

·       You are a current Little Swim Club customer, have enquired about our classes, or a past Little Swim Club customer

 

·       You have elected to receive such marketing e-mails

 

·       We are responding to an email, telephone call or letter we have received from you

 

·       We have a query about an order (photography or products) you have submitted or a class booking you have made

 

·       We share information with our management and staff for the purpose of delivering classes and services to users

 

·       We never pass your personal information to other third parties outside the The Little Swim Club organisation.

RETENTION AND DATA STORAGE

 

When we store data, reasonable measures are taken to protect personal information from access by unauthorised persons. This information will be stored, archived and backed up as part of internal systems which are hosted by cloud service providers detailed above.

 

In order to maintain the accuracy and relevancy of information, we perform periodic checks, and this may include making contact with the users to confirm their details.

When we do store information, we keep it for the following periods:

 

·       Information gathered on our website for the purposes of promoting and delivering our services is retained for 3 years from the date of consent being provided, to enable us to send you relevant communications regarding The Little Swim Club

 

·       Correspondence not relating to a contract will be retained for 1 year following its creation.

 

·       Records and documents relating to contracts and insurance policies will be retained for 7 years after the end of the contract or policy.

 

·       Information and documents relating to unsuccessful job applicants will be retained for 6 months from the date of notification to the candidate.

 

·       Other Information will be kept for periods as defined in our retention policies which can be provided on request.

 

·       Where we gain consent to use images in our marketing and social media activities, we will retain this consent for a period of 12 months after the last use of the image.

 

WHERE ELSE DOES DATA GO?

 

Little Swim Club does not share any of the personal information that we hold apart from with our management and employees. However, in the course of running our business some data does get transferred outside of our organisation:

 

·       To process payments, the relevant information will be passed to GoCardless or our Bank.

 

·       Information on the usage of our website may be passed to third parties but this will not include data that can be used to identify a user.

 

·       Where we do collect personal information, this will be stored on the systems of our software cloud service providers. We have checked and will continue to check that these providers implement appropriate security measures to protect this data.
